Transfers and receipts
Transfers document the physical hand-off of work between two parties — with both sides present, a signature, and a verifiable receipt.
How a transfer works
- The sender opens Transfers and starts a transfer, entering the receiver's email.
- Both sides pull up the app. A 6-digit code appears and rotates every 3 minutes — either side can enter the other's current code to link up.
- The receiver confirms by drawing their signature on screen.
- Both parties receive email alerts at each step.
Every transfer also gets a short number — M-0001, M-0002 for memos and S-0001, S-0002 for sales — counted per organization. Use it to find a transfer quickly in the Recent transfers list when the other party calls you for the current code.
Receipts
Every completed transfer produces a signed, verifiable PDF receipt with a QR code.
- Vendors see receipts in the Receipts branch.
- Receivers (external accounts) see receipts of transfers sent to their email — that's the only thing they can see.
Verifying a receipt
Anyone can confirm a receipt is genuine at the public Verify page (trackjewelry.com/verify) by entering the verification code from the receipt — no account needed.
Start a transfer by scanning a QR code
Every account has its own transfer QR code, shown on Receive transfers (and under "Your QR code" on Transfers). On Transfers, press Scan QR next to Receiver email and point the camera at the receiver's code — their email fills in automatically. Then press Start transfer.
Memo transfers (consignment)
When starting a transfer, choose Sale (final) or Memo (goods out on memo).
- The holder of a completed memo can open it and choose Transfer to someone or Return to vendor.
- Either way they need the release code from the original vendor. The vendor sees it on that memo's transfer page; it changes every 3 minutes.
- The new hop then works like any transfer: the holder shows the confirmation code, the next person signs and enters it.
- The next holder can pass it on again with a fresh release code. Every hop stays visible to the original vendor on Transfers.
- Memos you passed on appear under Memos you passed on on Receive transfers.
Text alerts
Add your mobile number on Profile and tick the SMS consent box to get a text when someone starts a transfer to you, and whenever a transfer you sent or received is accepted. Reply STOP to opt out.
Total and lots
When starting a transfer you can add an optional Total $ and pick one or more Lots. Both show on the transfer page for sender and receiver.
Transferring lots
Pick lots from the searchable table (50 per page, selections kept across pages). The transfer total becomes the sum of the lots' Sale price for sales (Cost if no sale price) or Cost for memos. Lots show Sale pending / Memo pending until the receiver accepts, then Sale / Memo. Lots already on a transfer are hidden from the table. Set Cost and Sale price on each lot in Inventory.
